The Media Gallery in Loupe Factory attaches as many photos, videos, PDFs, and 3D CAD files as you like to any inventory item or product type. Upload from your computer or paste a link, add captions, drag files into order, and preview them without leaving the item. It is included on every plan.
What is the Media Gallery in Loupe Factory?
Every inventory item and product type in Loupe Factory has a main image. That is the picture you see in tables and on the item record, and the variant photo in Shopify. The Media Gallery sits beside the main image and holds everything else: the other angles, the video from the bench, the certificate PDF, the 3D model, the supplier's drawing.
Open the gallery from the item, add what you have, and it stays with that item. Anyone with access who opens the record later finds the same files, in the same order, with the same captions.
The proof of an item lives everywhere except on the item
A buyer asks for a video of the 3.2 carat sapphire before they commit. The video exists. It is on the phone of whoever was at the bench that day. The certificate is a PDF in an email thread from March. The close-up of the inclusion sits in a chat group with forty other photos. Twenty minutes later the buyer has what they asked for, and your operations manager has lost twenty minutes.
Multiply that by every custom order, every approval, and every "is this the one?" message, and it adds up to a real slice of the week. Sometimes the answer goes out wrong, because the photo someone found was of a similar item.
The pattern is the same in furniture, auto parts, and job shops. The approved drawing, the finish sample video, the fitment sheet. They all exist. They are just not on the record everyone looks at.
What can you attach to an item?
Four kinds of file, added by upload or by link. Photos and videos preview inside the gallery. PDFs and CAD files open in a new tab.
| File | How it gets in | What you get |
|---|---|---|
| Photos | Upload JPG, PNG, GIF, or WEBP files up to 4 MB each, or paste an image link. | Thumbnails in the grid and a full-size preview on click. |
| Videos | Upload MP4, MOV, WEBM, M4V, MKV, or AVI files, or paste a YouTube or Vimeo link. Uploads are not held to the 4 MB photo limit, so a long clip from a phone is fine. | Plays inside the gallery once it has processed. |
| PDFs | Paste a link to the certificate, spec sheet, or drawing wherever it already lives, such as a shared drive. | Listed with its caption. Opens in a new tab. |
| 3D CAD files | Paste a link to an STL, STEP, OBJ, GLB, DWG, DXF, or similar file. | Listed with its caption. Opens in a new tab. |
How does the Media Gallery work?
- Open the item. On an inventory item, choose Media Gallery from the More Actions menu. In the All Inventory tab tables, it is in each row's menu. Product types have the same option on the product page and in Settings.
- Add files. Drop photos or videos onto the gallery, or click Choose files. For something that lives elsewhere, click Add by link and paste the URL.
- Caption them. A short caption tells the next person what they are looking at: "Under daylight lamp", "GIA certificate", "Rev C drawing, approved".
- Put them in order. Drag files into the order you want buyers or the shop floor to see them. Switch between grid and list. The gallery remembers your choice.
- Preview in place. Click any photo or video to view it inside the gallery. The count next to Media Gallery on the item shows how many files it carries.

Who gets the most out of it?
Any team whose buyers, approvers, or shop floor ask "which one is this?" more than once a day. Some examples from the trades Loupe Factory is built for.
Jewelry and gemstones
Lab certificates as PDF links, a video of the exact stone under daylight, side-stone close-ups, and the CAD model of a mounting. On Jewelry and Gemstones workspaces on Professional or above that use the JewelCloud feed, up to four gallery pictures fill the extra image slots and the first video fills the video slot for each listed item.
Made-to-order furniture
The approved drawing, a video of the finish or fabric sample, and the maker's CAD file on the product type, so every lot inherits the same reference set.
Specialty auto parts
Fitment sheets, dimensional drawings, and an install video, so the person picking the part can check it against the drawing before it ships.
Job shops and contract brands
Customer prints with the current revision on top, first article photos, packaging renders, and artwork proofs from the contract manufacturer.
What changes once the files are on the item?
| Moment | Before | With the Media Gallery |
|---|---|---|
| A buyer wants a video | Ask around, search phones and chat groups, send whatever turns up. | Open the item, play the video, send the link to the file. |
| A customer asks for the certificate | Search email for the lab's name and hope it is the right stone. | The certificate link is on the item, captioned with the report number. |
| Which photo is the right one? | Guess from a folder of similar shots. | The caption and the item record say so. |
| Which drawing revision is current? | Whichever version was attached to the last email. | The first file in the gallery, captioned as approved. |
| A new hire takes over the item | They ask the person who left. | Everything is on the record they already open. |
Included on every plan
The Media Gallery is on Starter, Professional, Business, and Enterprise, for admins and managers. There is no per-file fee and no cap on how many files an item can carry, and adding files never uses AI credits. Photos are limited to 4 MB each so uploads stay quick. Videos are not held to that limit.
The main image keeps its job. It is still the picture in inventory tables and thumbnails, the variant photo in Shopify, and the photo the AI background editor works on. A Shopify push adds the item's gallery photos to the Shopify product too, in gallery order. The gallery is for everything that should travel with the item but never fit in one picture.
